Hillhouse still remains a privately owned country house and it is let on an exclusive basis to private groups

PARTIES
The house can accommodate up to 20 guests overnight. Should you wish to have more than 20 guests attend the party, a further 16 guests are permitted (36 in total). There is a £65 supplement charge per additional guest.

PAYMENT DETAILS
A 25% deposit payment is required to secure your booking. We accept payment by Credit/Debit card or bank transfer. Please contact us should you wish to make a payment.
A full Confirmation of a booking by the Client constitutes acceptance of the terms.
In the terms of business, the expression 'Hillhouse' means the premises and surrounding areas operated by Hillhouse Golf Lodge Limited at Hillhouse, Troon, Ayrshire - and 'Client' means the person, firm or company making a booking or staying at Hillhouse.
1. Booking, Confirmation and Payment
- In order to secure a booking you should complete and sign our Booking Form, attached and return it to us together with a non refundable deposit of 25% of the accommodation rental price or, in the case of bookings made within eight weeks of your arrival date, the full accommodation rental price.
- The balance of the accommodation rental price must be paid not later than eight weeks prior to your arrival date and if not received on time we reserve the right to treat the booking as cancelled by you and to levy cancellation charges as set out below.
- All prices charged by Hillhouse are stated inclusive of all Value Added Tax, where appropriate. If Value Added Tax rates change we reserve the right to amend our prices accordingly.
2. Alterations by you
If, after we have confirmed a booking, you request a change in the dates or content of your itinerary, we will do our best to meet your revised requirements and reserve the right to charge an alteration fee, subject to a maximum of 5% of the accommodation rental price but any such requests received within eight weeks before arrival may be treated as a cancellation and re-booking and thus subject to cancellation charges.
3. Cancellation by you
- Cancellations by you must be in writing to us and will be effective on the day we receive them. Recorded delivery is recommended but we will accept faxes if signed by the signatory to the booking form. Faxed cancellations must be confirmed by post.
- Depending on when notification of cancellation is received cancellation charges will apply as follows:

4. Alterations or Cancellation by Us
Once your booking has been confirmed we will make every effort to provide you with the booked letting arrangements but reserve the right to alter or cancel the whole or part of the let if we cannot avoid doing so. Reasons for doing so would include such as extreme adverse local weather conditions, natural disasters, civil strikes or war, terrorist activity, fire, drought conditions and similar. If any such alterations are significant then you will have the right to cancel the let when we will refund in full all monies paid as we will do in the event of cancellation by us.
5. Car parking
Hillhouse does not accept responsibility for damage to, or for theft from, or for theft of, vehicles parked at Hillhouse.
6. Children
Persons under the age of 18 years must be accompanied by a responsible adult so as to ensure that their behaviour is appropriate for Hillhouse.
7. Dogs and other pets
Pets are accepted at the sole and absolute discretion of Hillhouse. If you wish to travel with your pet, please check in advance with Hillhouse. The Client is responsible for controlling the pet and will be liable for any damage, soilage or injury however caused by the pet.
8. Behaviour
Hillhouse reserves the right to judge acceptable levels of noise or behaviour of Clients, guests or representatives, who must take all steps for corrective action as requested by Hillhouse. In the event of failure to comply with management requests, Hillhouse may terminate the booking or stop any event immediately without being liable for any refund or compensation. The Client will be required to ensure that all members of its party staying at Hillhouse comply with any reasonable regulations relating to the use and occupancy of the house which will be communicated to the Client on arrival.
9. Discrimination
It is the policy of Hillhouse not to discriminate on the grounds of race, colour, nationality, creed, sex, marital status, age, ethnic origin or disability. Clients, their employees, guests and all sub-contractors engaged by or on behalf of the Client are expected to adhere to this policy and Hillhouse may, without incurring any liability to the Client, remove from Hillhouse any person or persons offending against this policy.
10. Liability
Other than for death or personal injury caused by the negligence of Hillhouse, Hillhouse's liability to the Client is limited to the price of the booking. Unless Hillhouse is liable under the above clause, the Client indemnifies Hillhouse from and against any and all liability and any claims, proceedings or damages resulting or arising from the booking, event or function, the Client, guests or any outside contractors of the Client. Hillhouse will not be liable for failure to perform to the extent that the failure is caused by any factor beyond its reasonable control.
The Client will be responsible for any damage caused to Hillhouse furnishings, utensils and equipment in them by any act, omission, default or neglect of the Client, their guests or sub-contractors and will pay to Hillhouse on demand the amount required to make good or remedy any such damage.
The Client will also be also responsible for the security of the house at Hillhouse. If the house is left unlocked the Client shall be responsible in the event of an intrusion, and shall bear the costs arising including any loss of goods or damage to fittings, furnishings or other items in the house.
Nothing in these terms and conditions adversely affects your statutory rights.
